Confirm authority and the intended benefit
The person ordering the work should have authority to approve changes to the building. Leasehold, freeholder or management-company restrictions may still apply even when the landlord agrees.
The design should reflect the type of tenancy and the rooms with the clearest comfort need. Durable, understandable controls may be more valuable than features occupants will not use.
Set out responsibilities in writing
The quotation should identify the equipment, work, electrical scope, access and applicable warranties. The owner and tenant should understand who arranges routine servicing, reports faults and provides access.
Manufacturer warranty conditions can include installation, registration or maintenance requirements. These should be checked for the selected equipment rather than assumed.
Make handover simple
Controls, filter care and safe operation should be demonstrated and documented for the appropriate person. Contact information and the route for reporting a problem should be easy to find.
At a change of tenancy, the system condition and controls can be included in the property handover. Regular attention can help prevent dirt, drainage issues or misuse becoming a larger problem.
